Performing export runs
You can export the review items from Veritas Surveillance if you want to review items offline or present them as evidence to a third party.
You must have the Export Messages permission to export items from a department. By default, all the reviewers in the department have this permission. The option to export escalated items is available to those with the Export Escalations permission only. By default, only users that have the Escalation Reviewer role have this permission.
You can perform the following export tasks. The keyboard shortcut keys are listed in parenthesis:
- perform a new export run.
- stop an in-progress export run.
- retry an export run with the status as Failed or Completed with errors.
- perform the export run again for the completed export.
- resume the export run that was stopped.
- refresh the list of existing exports.
To perform an export run
- In the left navigation pane, click Departments.
- Search for and select the department in which you want to perform export run.
Note:
Veritas Surveillance lists all departments. You can use the filtering options to search the required department. Options include filtering by department name, exception employees, and reviewers associated with the department.
- In the Export tab, click New.
The New Export dialog box appears.
- Refer to the following table and provide the relevant information in the respective fields.
Field
Description
Name
(Mandatory) Type a name for the export run.
The name that you specify here becomes the name of the subfolder in which Veritas Surveillance stores the output from the run.
Output folder
Type the path to the folder on the Veritas Surveillance server in which you want to store the output from the run.
The folder path can contain up to 100 characters.
Veritas Surveillance places the output from the run in a subfolder of the nominated folder.
Item ID
Specifies the ID of an individual item that you want to export. To determine the ID of an item, view the item in the Review pane.
Message type
(Mandatory) Select items by their type, such as SMTP, Teams Chat, Teams Channel, and Audio-Video Transcript as shown in the sample image below.
Message direction
Select items that are traveling in a certain direction. You have the following options:
All - includes messages from all directions.
Internal - Includes the items where the author and all recipients are internal to your organization
External Inbound - includes the items where the author is external to your organization and at least one recipient is internal.
External Outbound - Includes the items where the author is internal to your organization and at least one recipient is external.
Capture method
Select items by the method that Veritas Surveillance has used to capture them and add them to the review set. The options are:
All - Select all methods.
Search - Select to choose items that have been captured as a result of searches.
AdHoc - Select to choose items on adhoc basis.
Random Sampling - Select to choose items that Veritas Surveillance has captured and added to the review set according to your designated monitoring policy.
Guaranteed Sample Search - Select to choose the results of guaranteed sample searches.
Tags - Select to choose items that Veritas Surveillance has captured and added to the review set according to designated tags.
Tags action
Select items by the policy action with which your policy management software has tagged them. This action can be one of the following:
Inclusion (demands or suggests capture)
Exclusion (precludes capture or advocates non-capture)
No Action (item is subject to normal random sampling)
Date captured
Select items that Veritas Surveillance has captured over the specified period.
Search
Select items that the specified search has captured.
Current action status
Select items by their action status, such as Unreviewed, Pending, or Questioned.
Current action status author
Select items by the person who last assigned a review action to them.
Select All to consider all reviewers who assigned a review action.
Select User Selection to browse a particular reviewer who lastly assigned a review action
Escalation status
Select items by whether they have been escalated to an escalation reviewer and subsequently closed by that reviewer.
Escalation owner
Select items by the escalation reviewer who has responsibility for them.
Select All to consider all escalation owners.
Select Unassigned to consider items to which no escalation owner is assigned.
Select User Selection to browse a particular escalation owner
Escalated by
Select items by the person who escalated them to an escalation reviewer for further attention.
Select All to consider all reviewers.
Select User Selection to browse a particular reviewer.
Current appraisal status
Select items by whether a supervisor has appraised them. This option is only visible to supervisors with Apply Appraisal Status permission.
Current appraisal status owner
Select items by the supervisor who has currently appraised them. This option is only visible to supervisors with Apply Appraisal Status permission.
Select All to consider all appraisal status owner.
Select User Selection to browse a particular appraisal status owner.
Tags
Select items by the specific tag with which your policy management software has tagged them.
Export as
Select type of file to be exported.
Original type - to choose to output items in their native format. For example, Microsoft Exchange items as individual MSG files, SMTP items as individual EML files, and so on.
HTML - Veritas Surveillance displays some additional options with which you can choose to include comments and action status history. This history identifies the reviewers who displayed a preview or printable version of each item, downloaded the original version of the item, or marked it, and the date and time at which they did so.
Note the following limitations on exporting certain types of content as HTML:
Any embedded images in email messages may not display properly in HTML exports of these messages. For the best results, we recommend that you export messages that contain embedded images in their original format or encapsulated in a single Personal Folders (.pst) file.
Skype for Business communications can include whiteboards and polls that users share during a conference.
ZIP - If you click Zip, you can set a maximum roll-over size for each ZIP file. The default is 1024 MB (1 GB).
Include in reports
Select any or both of the following options:
Journal Recipients: Select this option to include recipient information from the journal envelope of Exchange or SMTP journal items. This lists all the recipients of each item, regardless of their placement in the To, CC and BCC fields.
Export items to
Export the items as either MSG/EMl or PST.
MSG/EML - to output Microsoft Exchange items as individual MSG files and SMTP items as individual EML files.
PST - to encapsulate all the exported items in a single Personal Folders (PST) file.
If you click PST, Veritas Surveillance displays additional options:
PST size (MB) - a maximum roll-over size for the file.
PST Password - an alphanumeric password. The default size of each PST file is 600 MB, and it cannot exceed 20 GB.
Convert EML to MSG
With the EML to MSG conversion option selected, the export will convert EML messages to MSG messages and then add them to one or more PST files, depending on the number and size of the messages. After a successful export run, the contents of the PST file(s) can be natively previewed in Microsoft Outlook. EML to MSG conversion is available for IMAP, SMTP, Instant Messaging, Fax, and Bloomberg message types.
Note:
The EML to MSG conversion is a time-consuming process. The time taken can be minimized by planning the export runs in batches. During testing of the EML to MSG conversion, export rates of approximately 10,000 messages per hour were seen, based on an average message size of 300KB. This estimate may be conservatively used to plan exports batch runs, so they complete within an acceptable time frame.
Decrypt Secure Messages
Veritas Surveillance export workflow supports decryption of MPIP-protected items. Enterprise Vault Administrators can configure the decryption of MPIP-protected items while exporting to Native and PST file types.
Select this check box to view the decrypted messages after exporting.
Number of items to export
Type the required number of items. Veritas Surveillance exports the oldest items.
For example, if you choose to export 100 items, Veritas Surveillance exports the 100 oldest items that match the selected options.
- Click Save.
The application prompts you to confirm that you want to perform the operation. Refer to the sample image below:
- Click Save to complete the operation or click Cancel to cancel it.
- In the Export tab, ensure that the export you have created is available and its status is In progress or Completed.
- After the export is finished, see the details of the exported file in the Details pane.
- Click the links to download the zipped file of the exported items.
Provide a password to open the report as shown in the sample image below.
